DIVISION 01 Sourcing & Grade

01.1 Where is Hardhat Coffee Co. coffee roasted?

Our coffees are roasted in Southern California in an FDA Registered, FSMA Compliant, State-Licensed roasting facility that specializes in small-batch, specialty-grade production. Each roast is dialed in to ensure fresh, specialty-grade quality.

01.2 What is specialty-grade coffee, and do you sell it?

Yes. Specialty grade means a cupping score of 80 points or more, and every coffee we sell cups between 80 and 89.

Our Arabicas are scored on the Specialty Coffee Association's 100-point scale. That form was written for Arabica, so our robusta blends — 24-Hour Shift, Swing Shift and Night Shift — are scored under the Coffee Quality Institute's Fine Robusta protocol instead. Different instrument, same 80-point bar.

01.3 Are Hardhat Coffee Co. coffees organic?

We're not an organic certified brand, but we do source organic products. All of our single origins come from certified organic farms, and the mushrooms in Mind Shift are organic too.

We're working toward certification across the Fairtrade line. Until that lands, we won't claim it.

01.4 Is organic Fairtrade®, is Fairtrade® organic — what's the difference?

Organic certifies how the coffee is grown: without synthetic substances, apart from a short list the USDA allows. Fairtrade certifies labor ethics and farmer compensation. Most of our single-origin coffees are sourced from organic, Fairtrade Certified farms.

01.5 Do you sell single-origin or blends?

Both. The lineup includes single-origin coffees like Fairtrade Peru, Colombia, Guatemala and Sumatra, alongside blends such as Day Shift, Swing Shift, Night Shift, 24-Hr. Shift, Blonde and Cold Brew.

01.6 What types of processing do your coffees undergo?

Washed, natural and wet-hulled. Each method affects flavor differently: washed coffees tend to be bright and clean, naturals are fruity and sweet, and wet-hulled are rich and earthy.

01.7 How does farm elevation affect coffee flavors?
  • Low, under 2,500 ft. / 750 m: heavier body, earthy.
  • Mid, 2,500–4,500 ft. / 750–1,372 m: balanced, sweet.
  • High, above 4,500 ft. / 1,372 m: bright acidity, floral or tea-like.
01.8 How does soil type affect coffee flavors, and where are these soil types found?

Soil composition influences nutrient absorption, which affects bean density and flavor clarity.

  • Volcanic, as in Guatemala and Sumatra: mineral-rich, enhances complexity.
  • Clay-heavy: richer body, deeper chocolate or spice notes.
  • Sandy or loamy: brighter acidity and floral aromatics.
  • Organic-heavy: balances acidity and sweetness, boosts body and aroma.
01.9 Are there additives or flavorings in your coffee?

Our coffee is coffee. No flavorings, no fillers, nothing added — with one deliberate exception.

Our mushroom coffees — Mind Shift and Instant Shift with Functional Mushrooms — have Lion's Mane, Reishi and Cordyceps mushroom powders added.

We don't make kosher or allergen claims. If you need to know exactly what's in Mind Shift, send a note to info@hardhatcoffeeco.com and we'll tell you.

DIVISION 02 Our Coffee

02.1 Do you sell decaf, and how is it decaffeinated?

Two of them, and both use the Swiss Water Process exclusively — Day Shift Decaf and our Fairtrade® Peru Decaf.

Swiss Water pulls caffeine out with water and time. No solvents touch the bean, which is what most people are actually asking when they ask how a decaf was made.

Decaf is not caffeine-free. A small amount always stays behind — that's true of every decaf, however it's made.

02.2 What roast levels do you offer, and which should I pick?

The full range: Blonde at the light end, Night Shift at the dark end, and everything in between.

Like a lighter, fruitier cup? Go light. Want something bolder and earthier? Go dark. Somewhere in the middle, you can't go wrong with Mexico — the founder's pick.

02.3 How much caffeine is in a cup, and does light or dark roast have more?

Coffee beans are coffee beans, and roast level is roast level — roasting doesn't meaningfully change what's in the bean.

The bean itself does. There are two commercial species, robusta and Arabica, and robusta carries roughly twice the caffeine. Three of ours are robusta blends — 24-Hour Shift, Swing Shift and Night Shift — with 24-Hour Shift built as our max-caf blend.

The confusion comes from how people measure. Light-roast beans are smaller by volume and dark-roast beans larger — like popcorn before and after it pops. Scoop two tablespoons and more light-roast beans fit in it than dark ones, which is where "light roast has more caffeine" comes from. Weigh instead, about 15 g, and you get a consistent cup across every roast level.

We don't publish a caffeine figure per cup. Everyone brews a little differently, and any number we gave you would be wrong for most people.

02.4 Is black coffee healthy?

By the FDA's definition, yes. Under the agency's updated “healthy” rule, in effect since April 28, 2025, plain coffee with fewer than 5 calories per serving automatically qualifies to be called healthy (89 FR 106064).

That covers every coffee we sell, brewed black: single origins, blends, decaf, Cold Brew and Instant Shift.

It does not cover Mind Shift or Instant Shift with Functional Mushrooms. The rule names flavors, sweeteners, vitamins and minerals as additions that keep a coffee in the category. Mushroom powders aren't on that list, so we don't make the claim for those two.

What you add is what changes it. Milk, cream, sugar and syrups all carry calories, and past 5 a serving the cup no longer qualifies.

02.5 What's in Mind Shift, and is it real coffee?

Mind Shift starts as real coffee — either our Honduras (medium) or our Sumatra (dark). Organic Lion's Mane, Reishi and Cordyceps mushroom powders are then added to the ground coffee.

Mind Shift comes drip ground only. If you want the same thing without the brew time, Instant Shift with Functional Mushrooms adds water and goes.

The caffeine comes from the coffee, not the mushrooms — mushrooms contribute none.

02.6 Is your instant coffee actually good, and why is it $27?

A 3 oz. jar of Instant Shift yields roughly 40 cups — about $0.68 a cup, the least expensive cup we make.

It's our Day Shift and Swing Shift, brewed and freeze-dried into a uniform soluble powder — not a different, lesser coffee. Instant Shift is nearly indistinguishable from Day Shift brewed.

DIVISION 03 Brewing

03.1 How should I brew Hardhat Coffee Co. depending on grind size?
  • Coarse: French press or cold brew.
  • Medium: drip or pour over.
  • Fine: espresso.
03.2 What is the ideal ratio of coffee to water for a light, regular and strong cup?
  • Light, 1:18 — clean and mellow. 13.3 g per 8 oz. cup (240 ml).
  • Medium, 1:17 — balanced and smooth. 14.1 g.
  • Strong, 1:16 — fuller-bodied with more intensity. 15 g.

Start at 1:17 and adjust to taste.

03.3 Whole bean or ground, and which grind should I choose?

Two styles: whole bean, and medium — drip ground. Cold Brew is the exception; it comes coarse ground only.

Brewing anything other than drip — Chemex, AeroPress, pour over, French press — buy whole bean and grind to suit your brewer. One grind can't serve every method, and grinding fresh is the single biggest thing you can do for the cup anyway.

We don't sell grinders. If you brew that way you already have one you trust, and our job is better coffee through the controls you have rather than another variable between you and the cup. On a blade grinder? Still worth it. A burr will pull more out of these beans, but specialty coffee on a blade beats commodity coffee on the same blade.

Want a grinder recommendation? Send a note to info@hardhatcoffeeco.com and we'll point you at something that fits your budget. We may even have access to it.

03.4 Can I cold brew it, and do you sell pods?

We make a medium-roast Cold Brew, but don't stop there — any coffee that suits your palate will cold brew.

Coarse ground, about 15 g of coffee to 8 oz. of water, 12 hours in the refrigerator. That's it. We prefer a medium roast for it; suit yourself.

We don't make pods, ready-to-drink, or any other format. Whole bean, ground, or instant.

03.5 How should I store my coffee, and how long is it good?

Cool, dry, out of the light. Whole bean keeps longer than ground — once coffee is ground, the extra surface area works against you.

We don't freeze ours. We go through a bag inside a month either way, whether that's a 2 lb. of one coffee or a couple of 12 oz. bags when we want the variety.

Drink it within 30 days of roasting for the cup we intended — and size your order so you can.

DIVISION 04 Bags & Program

04.1 Why does Hardhat Coffee Co. offer two bag colors?

Black bags — 12 oz., 2 lb. and 5 lb. — carry the male logo and fund the Boots & Belts Grant and the General Scholarship Fund, supporting the skilled trades workforce.

White bags — 12 oz. only — carry the female logo and exclusively fund the Female Workforce Development Scholarship Fund, supporting women in construction and related trades.

04.2 What bag sizes do you offer?

Coffees come in 12 oz., 2 lb. and 5 lb. bags. Instant Shift is 3 oz. and Mind Shift is 8 oz.

  • 3 oz. Instant Shift makes about 40 cups.
  • 8 oz. makes about 15 cups.
  • 12 oz. makes about 22 cups.
  • 2 lb. makes about 60 cups.
  • 5 lb. makes about 150 cups.

Work backward from what you actually drink. Cups per day times thirty tells you the bag:

  • About 1 cup a day → 12 oz.
  • About 2 cups a day → 2 lb.
  • About 5 cups a day → 5 lb.
04.3 How much of my purchase goes to the funds?

Every bag carries a set amount into our trades-support funds: $1 from a 12 oz., $2 from a 2 lb., $5 from a 5 lb.

Black bags fund Boots & Belts. White bags fund female workforce development. The bag you pick is the program you back.

DIVISION 05 Orders & Shipping

05.1 How long will my order take, and when was it roasted?

We roast on demand, not to inventory. Your coffee is typically roasted 4–5 business days after you place the order, and it ships the same day it comes off the roaster.

Ground transit depends on where you are — about two business days in Southern California, five to seven to the East Coast. Start to finish, that's roughly 6–7 business days on the West Coast and 9–12 on the East.

That's slower than a warehouse shipping off a pallet, and that's the point: the bag that reaches you was roasted for your order, not months before it.

We don't offer expedited shipping on coffee. Paying more wouldn't move the roast date, and the roast date is most of the timeline.

05.2 What does free shipping actually include?

Coffee ships free to all 50 states and DC — every bag, every size. Wholesale and event orders are the exceptions. We don't ship to US territories, APO/FPO addresses, or internationally.

Everything else — gear, apparel, drinkware — ships at calculated rates, shown at checkout before you pay.

Free shipping moves by ground through USPS, UPS or FedEx, chosen by weight and destination.

05.3 Do you offer a subscription, and how do I change or cancel it?

Yes — on every coffee we sell, at weekly, every two weeks, or monthly. Subscribe & Save takes 10% off every order.

Pause, cancel or modify any time — from your customer account, or email orders@hardhatcoffeeco.com and we'll take care of it.

05.4 What if I don't like it?

If a 12 oz. bag isn't for you, tell us within 30 days. Keep the bag — we'll put store credit on your account so you can take another shot at finding your coffee.

The guarantee covers single 12 oz. bag orders. It doesn't apply to wholesale, bulk or corporate orders.

DIVISION 06 Value

06.1 How fresh is your coffee compared to commercial or grocery store coffee?

Specialty-grade coffee is roasted fresh and shipped quickly. Many commercial coffees are roasted 6–24 months before sale and blended with little concern for freshness.

06.2 How much does a cup of Hardhat Coffee Co. cost compared to Starbucks?

At 15 g per 8 oz. cup, a 12 oz. bag of Day Shift works out to about $1.01 a cup. The bigger bags bring it down — roughly $0.93 from a 2 lb., $0.74 from a 5 lb. Our single origins run a little more.

Instant Shift comes to about $0.68 a cup, the least expensive cup we make.

A retail coffeehouse is $2–$3.

06.3 Do you offer any discounts?

10% off your first purchase, and 10% off every subscription order. We don't offer targeted demographic discounts.

06.4 How do I get Hardhat for my jobsite or office, and do you do corporate gifts?

Both, and both start with an RFI rather than a cart.

Jobsite and office coffee service is covered on sheet C-201. Corporate gifting is on sheet C-601, including the 25-bag minimum, pricing, and the design and production timeline.
